Booking Boss Privacy & Security Policy

Privacy Statement, effective 10 April 2018. Updated in March 2023.

Booking Boss Pty Ltd. (“bookingboss.com” or the “Company”) is committed to protecting the privacy of individuals who visit the Company’s Web sites (“Visitors”), and individuals who register to use the Services as defined below (“Customers”). This Privacy Statement describes bookingboss.com’s privacy practices in relation to the use of the Company’s Web sites and the related applications and services offered by bookingboss.com (the “Services”).

This Privacy Policy is designed to assist you in understanding how we collect, use, disclose and otherwise handle the personal information (being any information or opinion about an identified or reasonably identifiable individual) you provide to us and to assist you in making informed decisions when using the Website and Services.

1. Scope of this Privacy Policy

This Privacy Policy applies to dealings with us, including the information practices of the Website but does not apply to other websites which you may access using a link on the Website. The information practices or the content of such linked websites are governed by the privacy policies of the owners of the linked websites. We encourage you to review the privacy policies of the linked websites to understand their practices.

2. Information collected

When expressing an interest in obtaining information about the Services or registering to use the Services, we require you to provide us with your personal contact information, such as your name, company, phone number and email address (Required Contact Information). When purchasing the Services, we may require you to provide us with your or your company’s financial qualification and billing information, such as the relevant billing name, address and credit card number (Billing Information). In this Privacy Policy, the Required Contact Information and Billing Information are referred to collectively as Data About BookingBoss.com Customers.

 

As you navigate the Website, we may also collect information through the use of commonly-used information gathering tools, such as cookies and web beacons. This includes standard information from your web browser (such as browser type and language), your internet protocol (IP) address, and the actions you take on the Website (such as web pages viewed and links clicked).

Sometimes we may collect personal information about you from other people or organisations. For example, we may collect your personal information from:

      • one of our customers if you work for that customer and you have been designated as a contact person for our supply of the Services to that customer; or

      • your previous employer where you have applied for a job with the Booking Boss Group and you have listed a previous employer as your referee

 

3. Use of information collected

We use Data About BookingBoss.com Customers to perform the Services requested. For example, if you complete the ‘Contact Us’ web form, we will use the information provided to contact you about your interest in the Services.

 

We may also use Data About BookingBoss.com Customers for marketing purposes. When required by applicable global privacy and spam laws, we will only send you marketing materials with your consent.

 

We use website navigational information to operate and improve the Website. We may also use website navigational information alone or in combination with Data About bookingboss.com Customers to provide personalised information about the Booking Boss Group. 

 

We may also use your personal information to manage our relationship with you, comply with our legal obligations and consider your application for a job.

4. Security of information collected

We take all reasonable steps, including by maintaining organisational and technical measures, to protect your personal information from misuse, interference and loss and from unauthorised access, modification and disclosure.

 

Your personal information is stored in a secure environment and accessed only by authorised personnel for permitted purposes. However, because of the nature of the internet, we cannot guarantee your personal information is completely protected from misuse.

5. Website navigational information - Cookies, Web Beacons, IP Addresses and other technologies

We use commonly used information-gathering tools, such as cookies and web beacons, to collect information as you navigate the Website. This section describes the types of navigation information used on the Website and how the information may be used.

a. Cookies

The Website uses the cookies, local storage and tracking technologies outlined below. 

 

The Website uses cookies that are session-based or persistent. Session cookies exist only during one session and disappear from your computer when you close your browser software or turn off your computer. Persistent cookies remain on your computer after you close your browser or turn off your computer. Please note that if you disable your web browser’s ability to accept cookies, you will be able to navigate the Website, but you will not be able to successfully use the Services.

The policy below corresponds to the tracking on this website only. This website may integrate with external provider(s) for some of its functionality (eg. payment gateways, ecommerce engines). While we have engaged in all reasonable efforts to ensure that these providers' cookies & tracking operations are as close to our own policy as possible, your usage of these providers is subject to each provider's own privacy and/or cookies policy. 

 

i. Necessary cookies and storage

These are necessary for our website to function and as such are automatically installed. For example, these cookies:

        • help route the Website to your browser efficiently using our IT infrastructure;

        • saving your data on multi-page forms/checkouts (if any);

        • let you share or like our content on social networks like Facebook and Twitter if the relevant widgets are present on our pages. If you are logged into a social network, these widgets will automatically let you share content to your account if you choose. 

ii. Preference cookies and storage 

These cookies save your preferences for any customisation of the website and are installed if you make a customisation. 


iii. Statistical cookies and storage 

These cookies help us to determine user behaviour on the Website by reporting on your session. These technologies do not cross-reference your browsing with data from other websites. If you are located in the European Economic Area, we: 

        • ask each tool to only use a session cookie (ie. one that instructs the browser to clear it once you've finished your session); and

        • extend the life of the cookie to 1 year once you have scrolled down after viewing the consent popup shown at the start of your visit (as per the wording of the popup).

iv. Third party tracking and marketing cookies 

These cookies cross-reference your browsing with data from other websites to provide us with more accurate aggregated reports and to enable us to serve you personalised ads, including ads based on your browsing behaviour on the Website. This functionality is aggregated. We do not use any provider that allows us to see your specific data or to create an ad specifically targeted to a particular person. If you are located in the European Economic Area, we use these cookies only once you have scrolled down after viewing the consent popup shown at the start of your visit (as per the wording of the popup). 

We use:

        1. Google Analytics Doubleclick and Google AdWords (Privacy Policy | Opt Out) for aggregated reporting of your demographics and interests as determined by Google from any Google accounts you have, as well as for serving you ads on third party websites based on your browsing behaviour. Google AdWords also allows Google to deduplicate your browsing sessions to the Website across multiple browsers/devices for the purposes of tracking conversions.

        2. Facebook Ads (Privacy Policy | Opt Out) for serving you ads based on your browsing behaviour on the Website as well as seeing aggregate reports that deduplicate your browsing sessions to the Website across multiple browsers/devices.
        3. LinkedIn Ads (Privacy Policy | Opt Out) for serving you ads based on your browsing behaviour on the Website as well as seeing aggregate reports that deduplicate your browsing sessions to this website across multiple browsers/devices.

        4. Twitter Ads (Privacy Policy | Opt Out) for serving you ads based on your browsing behaviour on the Website as well as seeing aggregate reports that deduplicate your browsing sessions to this website across multiple browsers/devices. 

v. A/B Testing and personalisation cookies 

These cookies allow us to improve the Website by consistently showing you the same variation of the Website and seeing which variation engages users more. This functionality is aggregated. We do not use any provider that allows us to see your specific data or to create an ad specifically targeted to a particular person. If you are located in the European Economic Area, we use these cookies only once you've scrolled down after viewing the consent popup shown at the start of your visit (as per the wording of the popup). 

 

We use Hubspot (Privacy Policy | Cookie Policy) for serving different versions of one or more pages on the Website based on a combination of chance and selected targeting criteria (eg. your location or referral source). 

 

vi. Customer relationship management cookies and tracking

These cookies allow us to view some aspects of your website browsing behaviour on an individual basis. No providers we use store any personal information in the cookies. What is stored instead is a pseudonymous identifier (eg. your account ID) which is then tied to any additional data on the provider's end (ie. not in your browser or on the Website). If you are located in the European Economic Area, we: use these cookies only once you have scrolled down after viewing the consent popup shown at the start of your visit (as per the wording of the popup). 

We use:

        1. Hotjar (Privacy Policy | Opt Out) for generating usage heatmaps and browsing session recordings. Hotjar automatically removes any personal  information from these reports.

        2. Google Analytics UserID (Privacy Policy | Opt Out) for combining the standard Google Analytics reports with a pseudonymous and/or encrypted identifier. This occurs only if you choose to personally identify yourself on the Website (eg. by creating an account or filling out a form that requires your personal information). Any browsing behaviour you perform while logged out will not be associated with this ID.

        3. Hubspot (Privacy Policy | Cookie Policy) for combining your browsing behaviour with interactions we may have had with you outside of the website. This occurs only if you choose to personally identify yourself on this website (eg. by creating an account or filling out a form that requires your personal details).  

b. Web beacons

We use web beacons alone or in conjunction with cookies to compile information about our customers and  your usage of the Website and interaction with emails from us. Web beacons are clear electronic images that can recognise certain types of information on your computer, such as cookies, when you viewed a particular website tied to the Web beacon and a description of a Web site tied to the web beacon. For example, we may place web beacons in marketing emails that notify us when you click on a link in the email that directs you to the Website. We use web beacons to operate and improve the Website and our email communications.  

c. IP Addresses

When you visit the Website, we collect your IP addresses to track and aggregate non-personal information. For example, we use IP addresses to monitor the regions from which Customers and Visitors navigate the Website.

d. Social Media Features

The Website may use social media features, such as the Facebook ‘like’ button (“Social Media Features”). These features may collect your IP address and which page you are visiting on the Website, and may set a cookie to enable the feature to function properly. You may be given the option by the Social Media Features to post information about your activities on the Website to a profile page of yours that is provided by a third party social media network in order to share with others within your network. Social Media Features are either hosted by a third party or hosted directly on the Website. Your interactions with these features are governed by the privacy policy of the third party providing the relevant Social Media Features.

6. Public forums, refer a friend, and customer testimonials

We may provide bulletin boards, blogs, or chat rooms on the Website. Any personal information you choose to submit in such a forum may be read, collected, or used by others who visit these forums and may be used to send you unsolicited messages. We are not responsible for the personal information you choose to submit in these forums.

 

You may elect to use the Booking Boss Group’s referral program to inform friends about the Website. When you use the referral program, we request your friend’s name and email address. We will automatically send your friend a one-time email inviting him or her to visit the Website. We do not store this information.

 

We post a list of customers and testimonials on the Website that contains information such as our customers’ names and titles. We obtain the consent of each customer prior to posting any such list or testimonials.

7. Sharing of information collected

a. Service providers

We may share personal information (including Data About bookingboss.com Customers) with our contracted service providers so that these service providers can provide services on our behalf. Without limiting the foregoing, we may also share personal information with our service providers to ensure the quality of information provided and third party social networking and media websites, such as Facebook, for marketing and advertising on those websites. Unless stated otherwise in this Privacy Policy, we do not share, sell, rent or trade any personal information with third parties for their promotional purposes.

b. Within Booking Boss Group

We may share personal information within the Booking Boss Group. For example, we may need to share Data About BookingBoss.com Customers within the Booking Boss for customer relationship management purposes.

c. Business Partners

From time to time, we may partner with other companies to jointly offer products or services. If you purchase or specifically express interest in a jointly-offered product or service from us, we may share personal information (including Data About BookingBoss.com Customers) collected in connection with your purchase or expression of interest with our joint promotion partner(s). We do not control our business partners’ use of the personal information we collect, and their use of the personal information will be in accordance with their own privacy policies. If you do not wish for your personal information to be shared in this manner, you may opt not to purchase or express interest in a jointly-offered product or service.

d. Third Parties

This Privacy Policy sets forth the information we collect on the Website and the information we share with third parties. We do not authorise the collection of personal information by third parties through advertising technologies deployed on the Website, nor do we share personal information with any third parties collected from the Website, except as provided in this Privacy Policy. Section 5 “Website navigational information - Cookies, web beacons, IP addresses and other technologies” of this Privacy Policy specifically addresses the information we collect through cookies, web beacons and other technologies and how you can control cookies through your web browsers.

e. Compelled Disclosure

We reserve the right to use or disclose personal information provided if required by law or if we reasonably believe that use or disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process.

8. International transfer of information collected

We primarily store personal information in the United States of America. To facilitate our global operations, we may transfer and access personal information from around the world, including from other countries in which we have operations. This Privacy Policy shall apply even if we transfer personal information to other countries.

 

Some of the recipients we disclose your personal information to may be located in other countries, including the companies within the Embed Group located in Australia, Singapore, the United States (“US”) and the United Arab Emirates and our business partners and service providers located in the United States ("US"), Singapore and Australia.

9. Communication preferences

If you provide us with the Required Contact Information, we offer you a means to choose how we use the Required Contact Information. You may manage your receipt of marketing and non-transactional communications by clicking on the ‘unsubscribe’ link located on the bottom of our marketing emails or contacting us using the details set out in the Section 12 “Your rights” of this Privacy Policy.

10. Google Analytics

We use Google Analytics for tracking general and custom behaviour on the Website in order to continually improve the Website. We use all options that Google Analytics provides for maximising your privacy including instructing it to anonymise your IP address, transmitting data by an SSL connection only and manually stripping out any personal information before transmitting to Google Analytics. Google Analytics does not associate your IP address with any other data held by Google or store any other information about your visit that may be used to identify you personally from records on Google servers. Google Analytics traffic data is stored on Google servers (whether in the US or elsewhere) and Google is subject to US law. Please refer to the Google Privacy Policy for more information on the privacy practices of Google and refer to Google’s Opt Out web page for information on opting out. 

 

To improve the Website further, we use Google Analytics Demographic and Interest reporting. These reports associate your visit to the Website with Google’s estimated data about your age, gender and interest categories. This data is calculated by Google based on any accounts you have with Google products (such as YouTube), as well as your browsing behaviour on third party websites that use the DoubleClick cookie. This data is aggregated by Google Analytics and a privacy threshold is applied so that we cannot identify your demographics and interests on an individual basis.

 

We also use the Google Analytics UserID feature. If you choose to identify yourself by making a purchase, we will associate your current purchase and visit to the Website with your previous purchases and visits to the Website. Personal information (e.g. your email address) is never stored on Google servers.

From time to time, we also use Google remarketing and interest-based advertising to serve you ads (using Google and third party vendors) based on your demographics and your behaviour on the Website. Any advertising or remarketing lists you may belong to are also subject to Google’s privacy thresholds. We cannot serve you ads based on any personal information (including sensitive information) and the ad serving cannot be used to individually target any ads to a particular person. A range of opt-out actions you can take is outlined below:

  • To remove yourself from a remarketing list or to dissociate your UserID from future browsing, clear your browser cookies.
  • To completely opt out of Google’s remarketing lists and demographic and interest-based classification, visit the Google Ad Settings page.
  • To opt out of your usage data being reported to Google Analytics for the Website, refuse or clear the relevant first party cookies (called _ga and _gat) associated with the Website.
  • To completely opt out of your usage data being reported in Google Analytics for any website, install Google’s official opt-out browser add-on.

From time to time, we also use the Facebook Pixel to serve you ads (using Facebook and third party vendors) based on your behaviour on the Website as well as for general analysis and optimisation. Any advertising or remarketing lists you may belong to are also subject to Facebook’s ad policies. We cannot serve you ads based on any personal information (including any sensitive information) and the ad serving cannot be used to individually target any ads to a particular person. The data collected is stored on Facebook’s servers (whether in the US or elsewhere) and Facebook is subject to US law. To opt out of this advertising, visit aboutads.info/choices/.

11. Changes to this Privacy Policy

This Privacy Policy was last updated in March 2023.

 

We reserve the right to change this Privacy Policy. We will provide notification of the material changes to this Privacy Policy through the Website at least 30 business days prior to the change taking effect.

 

12. Your rights

 

Depending on the country in which you are located, you may have the right to:

    • request access to and receive information about the personal information we hold about you;

    • request the deletion or correction of your personal information; and

    • lodge a complaint with a regulatory authority.

If you:

    • wish to access, correct, remove or modify your personal information;

    • have any questions regarding this Privacy Policy or our information practices;

    • consider that there may have been a breach of your privacy; or

    • are unhappy with any aspect of the way we process your personal information,
